The United Way of Lee, Hendry, and Glades is seeking a dedicated and detail-oriented Gifts In Kind Inventory Specialist. This role is integral to the efficient management and distribution of donated goods, ensuring that inventory processes align with organizational goals. The United Way Gifts In Kind Program processes and distributes millions of dollars of donated goods every year to local nonprofits. The ideal candidate will possess a keen understanding of inventory systems, advanced proficiency in Excel, exceptional organizational skills, and outstanding problem-solving abilities. Additionally, excellent customer service skills are essential for success in this position.


Job Summary:
This is a full-time position. The days and hours of work are Monday through Friday, 6:30a.m. - 3:00p.m. Some evening and weekend hours may be required as job duties demand.
Key Responsibilities/Essential Functions:

  • Oversee the receipt, storage, and distribution of donated goods in inventory software (InFlow Inventory System).
  • Maintain accurate records of inventory levels using online inventory systems.
  • Ensure proper documentation for donations and valuations.
  • Conduct regular audits of inventory to ensure accuracy and resolve discrepancies promptly.
  • Develop and implement effective inventory management processes to optimize efficiency.
  • Utilize Excel to create detailed reports on inventory levels, movement, and usage.
  • Analyze inventory data to identify trends and areas for improvement.
  • Prepare and present inventory reports to management and stakeholders as required.
  • Research, evaluate, and document prices for donated goods to ensure fair market value.
  • Maintain a database of price comparisons and trends for common inventory items.
  • Work with vendors and donors to procure items needed.
  • Provide excellent customer service to vendors, ensuring smooth transactions and resolving any issues promptly.
  • Assist customers with inquiries related to inventory and donated goods.
  • Communicate effectively with donors, vendors, and internal teams to facilitate inventory processes.


Education/Requirements:

  • Minimum of BA or BS degree or comparable work experience. A minimum of 5 years of progressively responsible experience in project management is preferred—prior experience for nonprofit employers or previous experience creating and implementing programs.
  • Minimum of 3 years of experience in inventory management, preferably in a non-profit setting.
  • Proven proficiency in online inventory systems and advanced Excel skills including creating imports and exports.
  • Excellent research skills for price evaluation and market trends.
  • Outstanding customer service and communication skills.
  • Detail-oriented with strong organizational and time management abilities.
  • Experience with non-profit organizations or charitable inventory management.
  • Ability to work independently and as part of a team.
  • Proficiency in additional software tools related to inventory management.

This position requires both warehouse and office responsibilities. You must be able to lift 50 pounds comfortably, stand, walk or bend for long periods of time. The employee is frequently required to use finger and hand motion and occasionally to stand, walk, and reach with hands and arms. The employee must frequently lift and/ or move up to thirty pounds and occasionally lift and/or move up to forty pounds. There may be additional physical requirements associated with department meetings/events. Specific vision abilities required by this job include close vision, distance vision, depth perception and ability to adjust focus. Requires talking, hearing, and visual acuity sufficient to perform these major functions. Occasionally, the work of this position is spent at offsite meetings, or event locations within Lee, Hendry, or Glades County.


Licenses: Valid Florida Driver’s License.
