This position requires an assertive, proactive, and professional individual able to multi-task and prioritize work. Must be proficient at Microsoft Office suite and office equipment use. As one of the first points of contact for those both inside and outside of the Veterans Home, this position also requires someone with strong interpersonal skills who will exercise tact, patience, and discretion in communicating and dealing with persons of varying backgrounds and temperament while maintaining a friendly and approachable demeanor.
The Senior Secretary position will support the Michael J. Fitzmaurice State Veteran's Home in a variety of ways. Duties include but are not limited to the following:
- Support the Superintendent and Senior Staff with scheduling, planning and facilitating meetings and events
- Provide general clerical support to the Superintendent, Senior Staff, and facility departments;
- Provide meeting and event support, including assisting with organizing and technology;
- Assist with overall clerical support for the facility, including answering phones and greeting customers as needed;
- Sort and prepare mail;
- Coordinate and review travel;
- Compile agendas, distribute materials, and take meeting minutes;
- Perform a variety of administrative support functions;
- Complete medical records functions as a back-up if needed.
This position will perform a combination of professional and high-level clerical support duties requiring independent judgment, analysis, and latitude in decision-making and problem-solving to administer assigned programs and to support overall office functions.
The Ideal Candidate Will Have:
Minimum of 2 years of experience in a secretarial or administrative professional role.
The ideal candidate will be proficient in Microsoft Office suite and have excellent written and verbal communication, strong interpersonal and organizational skills, and the ability to manage multiple priorities effectively. This position requires a high level of discretion and the capacity to handle sensitive information with integrity.
Knowledge of:
- Business English including grammar, spelling, punctuation, and formatting;

Ability to:
- compose general business correspondence, professional emails, internal policies and forms, and marketing materials;
- prepare agendas for meetings and take minutes;
- proofread and edit rough copy for grammar, spelling, syntax, and style;
- accurately record, file, and transmit information;
- communicate in a concise and effective manner;
- maintain records such as directories, phone lists, and email distribution lists;
- organize and coordinate events as well as make travel arrangements;
- answer questions and requests from other department staff, residents, and community contacts;
- help with special projects as needed;
- accomplish all assigned tasks timely and on deadline; be proactive;
- stay organized and manage time appropriately.
This position is eligible for Veterans' Preference per ARSD 55:10:02:08.
