Key Responsibilities:
1. Administrative Support
Answer and direct phone calls, emails, and messages with professionalism and courtesy.
Manage calendars, schedule appointments, and organize meetings to streamline daily operations.
Prepare, proofread, and distribute reports, documents, and correspondence to ensure accuracy and clarity.
2. Data Entry and Management
Enter patient information, demographics, and insurance details accurately, helping to maintain seamless patient records.
Update and manage data in our electronic health record (EHR) system, ensuring that records are current and error-free.
3. Customer Service
Respond promptly to patient inquiries, concerns, and feedback, providing clear and empathetic communication.
Deliver excellent customer service via phone, email, and written correspondence.
4. Document Management
Scan, file, and organize electronic documents for easy access and compliance.
Adhere to HIPAA regulations to protect sensitive information and maintain confidentiality.
5. Special Projects
Support various projects, events, and initiatives as needed, contributing to team goals and organizational improvements.
Qualifications:
Education: High school diploma or equivalent is required; an associate's or bachelor's degree is a plus.
Experience: 0-2 years of experience in an administrative or customer service role preferred.
Skills: Strong communication, organizational, and time-management skills.
Technical Proficiency: Comfortable using Microsoft Office (Word, Excel, Outlook). Experience with EHRs is a plus.
Confidentiality: Ability to maintain confidentiality and handle sensitive information with discretion.
Preferred Certifications:
Certified Administrative Assistant (CAA) or Certified Medical Administrative Assistant (CMAA) is a plus.
